Why doesn’t the Other Expenses amount match what I uploaded?

Learn how MerchantSpring allocates Other Expenses across the selected date range and how to ensure the full amount is applied to a specific month.

How are Other Expenses allocated?

When uploading an expense under Other Expenses using the Dollar amount entry mode, the total amount entered is distributed across the entire selected start and end date range.

If your selected date range covers multiple months, MerchantSpring automatically distributes the expense proportionally based on the number of days in each month.

This means that when viewing a specific month in reports such as Channel Profit, you may see only a portion of the total expense you uploaded.

This is expected behaviour.

Example: Expense covering multiple months

Suppose you upload an expense with the following details:

  • Start date: November 1, 2026
  • End date: December 31, 2026
  • Entry mode: Dollar amount
  • Value: $1,000

Since the selected date range covers 61 days, the $1,000 will be distributed across November and December.

The allocation will be:

Month

Allocated amount

November 2026 (30 days)

$491.80

December 2026 (31 days)

$508.20

Total

$1,000.00

Therefore, if you view Channel Profit for November 2026 only, you will see $491.80 instead of the full $1,000.

If you view December 2026, you will see the remaining $508.20.

How can I apply the full expense amount to a specific month?

If you intend to apply the full expense amount to each month rather than distribute it across multiple months, you need to create a separate expense entry for each month.

For example, if you want to apply the full $1,000 to November 2026, use the following settings:

  • Start date: November 1, 2026
  • End date: November 30, 2026
  • Entry mode: Dollar amount
  • Value: $1,000

With these settings, the entire $1,000 will be allocated to November.

What if I have a recurring monthly expense?

You need to create a separate entry for each month.

For example, if you have a recurring expense of $1,000 per month:

Month

Start date

End date

Amount

November 2026

Nov 1, 2026

Nov 30, 2026

$1,000

December 2026

Dec 1, 2026

Dec 31, 2026

$1,000

January 2027

Jan 1, 2027

Jan 31, 2027

$1,000

This ensures that the full $1,000 is allocated to each respective month.

How can I delete an incorrectly uploaded expense?

If you have uploaded an expense with an incorrect amount or date range, you can delete it and upload it again with the correct details.

  1. Navigate to the Other Expenses section.
  2. Find the expense entry you want to remove.
  3. Click the Trash bin icon at the end of the corresponding row.
  4. Upload a new expense with the correct start date, end date, and amount.

Key Takeaways

  • The amount entered is the total expense for the entire selected date range.
  • Expenses spanning multiple months are distributed proportionally based on the number of days in each month.
  • When viewing an individual month in Channel Profit or other profitability reports, you will only see the portion allocated to that month.
  • To apply the full amount to a specific month, set the start date to the first day and the end date to the last day of that month.
  • For recurring monthly expenses, create a separate entry for each month.
  • You can delete incorrectly uploaded expenses using the Trash bin icon.
